Production Team Coordinator

We have an exciting opportunity to join our Production & Sourcing team as a Team Coordinator. Production & Sourcing is at the heart of our business, working with multiple internal functions and directly with vendors achieving the highest quality product.
The team coordinator will report directly to the Production Director, providing general administrative support to firstly the director, and the function to keep the department organised.
THE ROLE:
- General administrative support to keep the department organised and to share information.
- Management of complex calendar and scheduling requirements.
- Interact with stakeholders on a global basis to arrange meetings, conference calls, diary schedules etc. with key colleagues and internal managers.
- Prepare and issue notes of meetings where needed and assist with the follow up actions from meeting outcomes.
- Manage and process mail and correspondence as required.
- Tracking and helping drive completion of key deliverables and follow up on outstanding items.
- Schedule cost effective air/hotel/ground transportation. Create detailed, to-the-minute travel itineraries (including smooth transitions between time zones). Coordinate with travel agents and manage international travel process (including passport, visa, vaccination, and cell phone requirements).
- Drive team activities (including staff meeting agendas and notes, meetings, supply ordering, and other key logistics).
- Support the Production Director and Production Team with ad-hoc reporting and projects as and when required.
- Complete and file expense reports; utilizing both domestic and international currencies..
- Act as administrator over team sites.
- Manage team trackers on Google Sheets & Excel.
- Liaise with vendors ensuring clarity on expectations and deadlines.
- Along with Production Assistant process purchase orders promptly and in line with the critical path dates.
- Liaise closely with Buying & Merchandising teams to ensure that all reorders are placed promptly and loaded onto One World and key dates added to the delivery schedule .
- Ensure weekly delivery schedules are updated and sent by vendors on time for the Production Assistant to review and analyse.
WHAT SKILLS DO I NEED FOR THE ROLE?
- Advanced user of Excel (V-Look Up and Pivot tables required).
- IT literate.
- Previous experience within a production & supply chain is preferable but not essential.
- Willing to learn and have a genuine interest in Sourcing & Production.
- Ability to communicate effectively with good listening skills.
- Proactive and independent thinking ability with demonstrated desire to learn and grow.
- Strong ability to prioritise and adhere to deadlines.
- Ability to work well under pressure.
