Position Purpose:

Develop, manage and execute assigned creative projects and timelines in adherence with the Global Creative processes for on-time deliverables, including but not limited to: digital/social, ecommerce, imagery/retouching, video/motion, print collateral, fixtures, merchandising, copy/mechanical turnover and any elements required for PR and Education needs. This applies to Consumer go-to-market, Non-Launch Projects, Branding Projects & Meetings, Regional Requests, etc.

Description of Duties:

  • Be a champion of positivity and change; imperative to create an environment that provides motivation and support to our creative partners.

  • Develop, obtain alignment and ensure adherence to campaign timelines based upon established processes, with an emphasis on being able to identify when adjustments are needed based on the individual characteristics of each individual project (while still following all mandatory guidelines such as approvals, ELC archival, etc). Timelines must include critical dates for all portions of campaign, including:

  • Overall campaign.

  • Photo/Video Shoots (including blankware/mock-ups, product formulas, casting, etc).

  • Imagery – Selects, Approvals, Retouching, Stock Purchases, asset management, final downloads, etc.

  • All final creative deliverable elements (digital/social, video/motion, print, online, kits, etc).

  • Agency-Developed elements.

  • Schematics Visual Merchandising.

  • Campaign Flat Toolkits.

  • Aveda.com Web Refreshes.

  • Continually communicate and ensure adherence to critical project milestones for all cross-functional teams. Examples:

  • Creative Briefs final asset alignment.

  • Final Claims.

  • Presentations/Approvals.

  • Blankware & formulas for photo shoots.

  • Partner closely with Consumer Marketing team to ensure Global Creative and Agency timelines are aligned in order to obtain approvals and release globally, for a truly 360° campaign.

  • Provide unparalleled operations support to Creative & cross-functional teams for all assigned programs, including:

  • Real-time updates to Creative Status document and lead weekly meeting with Creative team to assign priorities for the week.

  • Partner with Director to ensure real-time updates are made to “weekly update” document and presentation agendas, as program timelines and priorities change.

  • Partner with Director to update following docs on a weekly and bi-monthly basis, to ensure critical milestones and priorities are communicated effectively to all cross-functional teams.

  • Campaign Timelines.

  • GTM Campaign Urgency Priorities.

  • Lead bi-monthly Creative Program Review meeting.

  • Constant development and adjustment of program timelines; reviewing with Director Creative Ops.

  • Active participation in all campaign meetings, including recaps with clear action items & due dates.

  • Ensure Creative team has everything they need and can complete the work on-time.

  • Diligently record target, scheduled and actual dates for critical milestones and conduct post-launch reviews.

  • Prioritize workload and immediately flag to Director Creative Ops any challenges.

  • Immediately elevate any roadblocks, challenges or concerns to Director, Cr Ops in weekly team touch base meetings, or as needed throughout the week.

  • Work with key stakeholders to minimize risks when unforeseen circumstances derail creative due dates.

  • Ensure all briefs, direction and creative presentations (wip & final) are posted on Microsoft Teams sites on a weekly basis.

  • Interact with your creative project teams regularly, ensuring you have a pulse on the current status and trajectory of the campaign and can identify and problem-solve roadblocks before they happen.

  • Attend any creative meetings with Creative Director to review work to ensure prioritization and timelines are known and taken into consideration when making critical decisions; recap accordingly.

  • Schedule, lead & recap Campaign Approval Meetings; ensuring EL Legal approval is archived according to ELC policy.

  • Create/manage agendas, prepare for, lead and recap weekly creative presentations.

  • Cons & Prod Mktg (Wed’s).

  • Global GM (Fri’s).

  • Management of CPMS (Creative Project Management System) for paper routing/manual tickets.

  • Traffic/obtaining approvals.

  • Manage the demands of competing priorities and urgencies of creative requests across various departments.

  • On-time communication/distribution of final assets/files released on Adobe Brand Portal, using established distribution lists and processes.

  • Participate in the implementation of a new Digital Project Management tool and help drive the transition to digital operations management.

  • Ensure all EL Legal emails are printed and included in job tickets and/or saved on Digital Archival site immediately upon receipt.

  • Attend and participate in weekly Creative Ops Team Touch Base meetings.

  • Manage 48-hour turnaround of Creative feedback for Regionally developed elements; as assigned by Director Creative Ops.

  • Identify and elevate any improvements/efficiencies to Director Creative Operations for implementation.

  • Other duties as assigned by Director Creative Operations and Creative Director.
     

Qualifications:

Education: Bachelors degree in Business Administration or related field.

Experience: 5 years of experience in Project Management (Marketing and/or Creative); International experience a plus.
 

Others:

  • Mac proficient.

  • Excellent project management skills; ability to multi-task essential.

  • Excellent written and verbal communication skills.

  • Proficient knowledge of Word and Excel.

  • Ability to learn and become proficient in company Creative systems (CPMS, Teamcenter) as utilized by Aveda.

  • Strong interpersonal, leadership, and negotiation skills.

  • Highly organized.

  • Self-motivated.

  • Flexible to handle ever-changing priorities and needs of multiple groups.
