Who You Are:

An Associate, Media is a key person within the media team. In addition to the responsibilities of a Coordinator, they also take on greater role in media planning. An associate is expected to participate in briefings with Account, Media and Strategy teams and construct the first draft of vendor/partner RFPs. An associate is responsible for ensuring that the planning timeline is followed and that all teams stay on target. RFP responses will be reviewed first by the Associate and notes/POV will be shared with the greater media team. The first draft of media plans will often be created by an associate for review by a senior media team member for discussion and revision before a final version is created to submit to the Account Team for review. At time of execution, an Associate, Media will lead the process of getting the campaign live and running correctly following all internal standards and processes.

This role requires strong communication and collaboration skills both internally and with partners. A proactive, growth mindset is required. The goal of the Associate is to gain more experience with more complex, multi-channel media planning across a variety of accounts and to learn hands on skills from media platforms such as programmatic, social and search.

Responsibilities:

  • Work closely with media team to review action items deliverables on a daily basis.
  • Maintain account files and documentation on Box server.
  • Prepare conference room for meetings with publishers and clients & ensure room is returned to original state following meetings.
  • Contribute to JUST Media company blog.
  • Prepare media authorizations and maintain updates.
  • Create draft RFP documents for review by senior media team members.
  • Send out RFPs and lead vendor communication/calls.
  • Format, proof and prepare PowerPoint presentations as needed.
  • Maintain client media buy details.
  • Prepare and maintain online creative traffic masters – gather ad specs to be shared with client/creative agencies.
  • Issue insertion orders (IOs) and change orders (COs), email requesting signed copies (be sure all are returned and issue COs for any necessary changes).
  • Manage due dates of tracking reports.
  • Work with media planner on tracking online programs – pacing, performance, etc.
  • Update client status reports.
  • Prepare screenshot presentations.
  • Traffic campaign assets to vendor partners, platforms.
  • Prepare and maintain reconciliation reports – including running reports from Adserver to update Advantage (financial system) with current month end activity.
  • Reconcile media invoices and resolve discrepancies.
  • Work with controller on billing.
  • Gather market and media research.
  • Prepare POVs (point of views) on opportunities presented to internal team and clients.
  • Schedule meetings during your media meeting week and be prepared to present notes and a slide during Monday morning media meetings.
  • Set up Google Alerts to all JUST Media accounts and B2B/Media Industry updates. Send weekly emails to all team members.
  • Attend all vendor meetings where there is not a client meeting conflict.
  • Return emails and phone calls in a 24-hour period for media partners / clients.
  • Send thank you notes for gifts and services.
  • Fielding calls and inquiries from media publishers.
