Salary: £35,000 - £40,000

Description: The Traffic Manager (TM) is responsible for the detailed day-to-day scheduling, overseeing and monitoring of project workflow in the design and video team. The TM will work with PMs to create resource schedules for projects, and will work with the Heads of Departments to assign resources. The TM must have the ability to juggle multiple projects concurrently under tight deadlines. The TM must be able to foresee scheduling conflicts and take quick action when schedules get compressed or delayed. The TM will need to creatively manage schedules and resources as well as collaborate closely with all team members. Importantly, the TM needs to be firm yet flexible to meet the ever-changing client demands. They need to be personable and approachable, always seeking to ensure timely delivery of all projects; helping wherever he/she can and directing and motivating everyone to deliver their part of the job on-time and according to agreed-upon specifications. The TM is a problem solver, is highly self-motivated, detail-orientated, open-minded, and exhibits a high level of initiative; works independently and in support of department goals and agency business objectives. This position reports to the Head Of Project Management.

Planning Responsibilities

  • Instigate and run resource planning sessions with project teams
  • Attend team/client meetings as needed; serve as a subject matter expert regarding project processes, capacity, and timelines
  • Ensure that all resource requirements for each project are booked into our resource management tool
  • Seek regular information from Account Management team to ensure resourcing needs are always up-to-date
  • Be a driving force to ensuring our schedule is planned with client work as far in advance as possible
  • Manage schedule conflicts by speaking directly to the Account Managers and/or Project Managers whose work is clashing
  • Where needed engage relevant Heads of Departments to ensure satisfactory resolution of schedule conflict for all parties
  • Implement changes or updates as required to the traffic systems, to ensure the agency is supported by the best and most appropriate system to fit our needs

Daily Production Responsibilities

  • Ensure that the creatives (including designers, animators, copywriters, proofreaders... etc) have had sufficient briefing to start work daily
  • Manage and run the daily stand up to resolve any blockers to production
  • Monitor the creative team members, making sure they are on track, on time and budget
  • Actively push to make studio as productive as possible by maximising time on paid project work
  • Ensure time-sheets are completed on time
  • Ensure design team update tools with the day of design work and leave progress updates for Project Managers

Reporting Responsibilities

  • Ensure that all projects are correctly set up and maintained on our resource scheduling tool
  • Produce weekly reports on efficiency and productivity for Heads of Departments
  • Raise issues to Heads of Department including budget overspend, project delay, incorrect estimations
  • Maintain KPIs and other metrics used to measure studio efficiency, productivity, quality, profitability; partner with Heads of Department & Senior Leadership
  • Creating a monthly forecast to ensure best practices of planning

Administration Responsibilities

  • Ensure that each project has the correct set up on each of our internal tools (Trello, 10,000ft, Project Tracker, Slack, project folders)
  • Holiday sign off, booking and rescheduling for the design, video, project management and accounts teams
  • Manages the organization of the electronic file structure for client creative and production work
  • Resourcing freelance requirements as and when required, sorting paperwork and raising PO’s accordingly
  • Manages the schedules of all freelance creative staff
  • Works with Heads of Department to identify and maintain a steady bench of freelance help for ongoing assistance
  • Booking all creative meetings, Presentations, Pre-Prods, etc.
  • Manages archiving process including outreach to account team, changes codes in the project tracking system, and the electronic and physical storage of archived jobs

Skills and experience necessary for this role:

  • A confident clear communicator who enjoys working with multiple stakeholders with the strength of character to push back when necessary
  • Highly organized and strong multi-tasker
  • Excellent problem solving skills
  • Strong knowledge of managing digital, print and video deliverables
  • Strong understanding of effective design practices, trends, techniques, and processes across various routes to market or mediums
  • Strong problem-solving skills; ability to proactively identify and implement effective solutions
  • Demonstrated ability to lead and adapt to the requirements of various projects; strong project management skills
  • Demonstrated ability to make effective decisions in challenging situations and/or under pressure
  • Demonstrated ability to work well in a team environment and develop collaborative relationships with colleagues across the company; willingness to work with colleagues at all levels.
  • Demonstrated ability to manage heavy workloads, prioritise, work appropriately, and meet assigned deadlines; excellent organisational and analytical skills (including attention to detail)
