We have an exciting opportunity for an organized and methodical Upload Planner  to be responsible for the product allocation and management of every ‘Upload’ of new products on NET-A-PORTER.COM. Reporting to Retail Operations, you will be responsible for coordinating new product lists and working with all departments delivering product and assets to generate new Uploads consistently through the week The role is responsible in coordinating the launch of new product and brands to the business, working closely with our photo studios, distribution centre, Product Marketing, Upload and Retail Operations teams globally.

Day-to-day Responsibilities

    Manage the Upload process by:

  • Working with the global Upload Planners, Retail Operations, Distribution,  Photo Studio, Samples, Buying, Merchandising, Marketing & Editorial departments to ensure SLAs and targets are met for a smooth Upload launch without fail, every Monday, Wednesday and Friday across US, INTL and APAC regions
  • Using in-house stock and management systems, create, allocate product to, and manage the Upload lists which determine workload for all teams involved
  • Launch the Uploads early Monday, Wednesday and Friday early mornings by ensuring all checks and status of works are complete in advance
  • Communicating Upload status to the company or groups and in place as main contact with global counterparts as key contact for Upload queries
  • Manage all product in systems – pending or otherwise for allocation to Uploads
  • Oversee unscheduled work lists, including problem products, and special projects, collections and launches, i.e. - fine jewellery and vintage
  • Review and report on allocation against weekly Upload targets and plan weekly studio capacity with counterparts utilising reports and trends
  • Provide weekly delivery forecasts by utilizing information within Retail and Inbound warehouse teams to assist with planning, and review forecasts against actuals.
  • Ensure allocation of product to Uploads meet  criteria to achieve the best  offering to the customer, and enhance visual merchandising
  • Attention to prioritised key pieces as required for reservations, events or Editorial
  • Follow-up with Retail Coordinators to ensure Upload checks are complete and thorough, i.e. pricing
  • Collaborate with Editorial to ensure featured products are confirmed and carry out thorough checks when content is live
  • Work with Trade and Transport to ensure all the needed scientific and customs information required for selling the products are in the Upload.
  • Liaise with Product Library and Studio teams to ensure timely returns of product to stock
  • Attend the regular Sales, Operations, Studio and Capacity meetings to update on deliveries, forecasting and projects
  • Monitor sales reports and merchandise plans to pre-empt situations and plan ahead
  • Understand business targets and strategy through to fashion categories and key products
  • You will be the Upload main point of contact to field any Upload enquiries in the business, and attend regular meetings with Upload Planners in Mr Porter and The Outnet to review best practice
  • Trouble shoot any problem deliveries in conjunction with Retail Coordinators to ensure quick resolution for maximum sales
  • Work closely with Technical and Data teams to enhance Upload process, recovery, reporting and participate in Upload related projects or assignments
  • Oversee any stock transfers post-sale period for smooth completion
  • Train and oversee Retail Co-ordinators to enhance understanding of Upload functions and provide coverage to launch Uploads with counterparts
  • Present and educate teams within the business on Upload processes and champion enhancements required
  • Supporting other channel uploads where necessary through cross-training
  • Have a key role in Upload related projects as assigned or generated to improve efficiencies and workflow for the short and long-term
  • Early start required on Upload days to ensure launch is ready by deadline and flexible to adapt for special product/brand launches as required
  • Support Retail Operations management team and other duties as called upon.

Essential Skills:

  • Degree educated or relevant experience gained in the Retail industry with E-commerce preferred and/or exposure to working with Merchandising, buying and Inbound warehouse functions
  • Strong numerical and analytical skills, thorough, and high level of accuracy required in all areas with a good eye
  • Can sustain day to day routines long term whilst maintaining high standards in quality of work in multi-tasking and working under pressure
  • Has exceptional attention to detail for data entry, use of systems and carrying out routine checks for accuracy of product details, and testing new developments
  • A self-starter who is process and results driven with genuine interest in Retail Operations, Merchandising and Warehouse operations
  • Confidence and excellent communication skills and articulation (both verbal and written) including timely response to queries, and presenting and training individuals to large teams at variable levels of seniority
  • A strong team-player with ability to work independently but share and retrieve vital information with counterparts, and able to adapt to lead or share ownership of tasks
  • Ability to identify problems, challenge processes, demonstrate use of initiative and implement appropriate solutions
  • Excellent work ethos, good timekeeping and positive can-do approach even whilst working under pressure
  • Balanced approach with being proactive and keen to evolve processes, whilst maintaining existing methods for delivery
  • Advanced Excel knowledge essential, Visio or other process-mapping software preferred
  • Organized, efficient with proven ability to work to stringent deadlines
